Organising a Family Fun Day

Step-by-Step Planning Guide

1. Set Your Date and Budget

Give yourself at least 6–8 weeks of lead time. Summer weekends are the most popular choice, but autumn dates work well too — especially if you're using an indoor venue. Set a realistic budget early: a typical company fun day for 100–200 people, with 4–6 games, catering and basic décor, usually falls between £1,500 and £4,000 depending on what you include.

2. Choose Your Venue

If you've got outdoor space at your workplace, that's often the simplest option — no venue hire costs and everyone knows how to get there. Otherwise, look for parks, sports clubs or community halls that can accommodate your numbers.

Key considerations:

  • Access for delivery vehicles — we'll need to get equipment in and out
  • Power supply — most games need a standard 13A socket
  • Shelter or indoor fallback — even in summer, you need a Plan B
  • Parking and public transport — make it easy for families to arrive

3. Plan for the Weather

British weather is unpredictable. If you're outdoors, have a wet weather contingency. Many of our games work both indoors and outdoors, so a village hall or sports centre on standby can save the day. We can advise which games are suitable for outdoor use and which are indoor-only.

4. Choose Activities for All Ages

A family fun day means exactly that — from toddlers to grandparents. Mix your activities to cover different age groups and energy levels:

For younger children: Giant Connect 4, Giant Jenga and Crazy Golf are easy to understand and satisfying to play at any age.

For older children and teenagers: Dance Machines, Racing Simulators and Retro Arcade Games draw this age group like magnets. Competitive games like Batak Lite are popular with teens who want to beat each other's scores.

5. Think About Food and Drink

For main meals, consider a BBQ, hog roast or street food van. Build a lunch break into your schedule rather than expecting people to eat and play at the same time.

Don't over-plan, but do give the day some structure:

  • Arrival and free play (30–45 minutes) — let people settle in and explore
  • Any organised activities — if you're doing team competitions or speeches, schedule them mid-morning or early afternoon
  • Lunch break — a proper sit-down break keeps energy up
  • Free play continues — let people enjoy the games at their own pace
  • Wind down — prize-giving or final activities before the end

7. Promote the Day

Get your team excited in advance. Share a preview of the games on your internal channels, create a simple poster or email with the date, time and what to expect. If children are invited, let parents know what age-appropriate activities will be available so they can plan accordingly.
